How we ensure your anonymity in the staff and student surveys

The participant file which is provided to People Insight (the people that run the survey for us) which is used to email you your survey link does not include individual’s demographic data or anything related to protected characteristics
The only pre-populated info is your name & email (only used for sending the survey link), your department, and your broad job role
This is why there are so many optional demographic questions to collect this information from participants
All questions, including demographic ones, are optional to answer

Nobody at the University is ever involved in collecting responses.
No individual responses or raw data are ever seen by the University (unless it is for a lawful purpose, eg, response to police request or court order).
They are only held by People Insight who aggregate the responses and only provide us the data through the reporting dashboard.
Dashboard users can only see % favourable, neutral and negative data where there are 5 or more responses for a particular question.
Dashboard users must comply with the Staff Privacy Policy and data protection law.

In free text questions people are strongly encouraged not to share identifiable information.
Even if they do, People Insight redact the comments where they see something potentially identifiable, before they share with the University.
Even though results can be filtered, no results are shared where there are less than 5 responses.

All questions, including demographic questions are optional, there is no pre-populated information.
All demographic questions also have ‘prefer not to say’ options.

The survey is being administered by staff in the divisional office and no departmental members will have access to the raw data.
The survey results are processed via an excel dashboard, so only top level % positive, neutral, negative and PNTS information (by whatever characteristic is selected) is viewable.
No department member will ever see an individual’s whole response.
Your data is aggregated to ensure that characteristic selection will never show data where a responding group has fewer than 5 respondents (for example if only 4 male students from a certain course respond the department cannot review the data for the students of that course by gender).

In free text questions people are strongly encouraged not to share identifiable information.
All free text comments are provided without any demographic information.
All free text responses are reviewed by the survey administrator in MSD and potentially identifying information is redacted.
